Who we are

Impactful PM (“we”, “us”, “our”) is the data controller for the personal information described in this policy. Our registered address is [13 Auburn Drive, Castleknock, Dublin, D15 Y2WV]. You can reach us at admin@impactfulpm.com or on +353 (0)87 281 0407.

This policy explains how we collect, use, store and protect your information when you visit our website, respond to one of our ads, engage with our content, or use our services.

What information we collect

We may collect and process:

  • Information you give us directly — your name, email address, phone or mobile number, company, job title, postal address, and any messages you send us

  • Information you submit through forms, downloads, bookings and purchases, including lead forms on Facebook and Instagram

  • Your answers to our diagnostic questionnaires, and any notes we make when we speak to you

  • A record of the marketing permissions you have given us — what you agreed to, when, and the exact wording you saw

  • Details of events you attend — bookings, dietary or access requirements, attendance, and any voucher or referral code you use

  • Recordings, photographs and chat messages from masterclasses, webinars and training sessions, where we've told you in advance that the session is being recorded

  • Feedback, reviews and testimonials you give us, and your permission to use them

  • Where you work with us as a client, details of the people you ask us to train and the arrangements for the work

  • Technical data such as IP address, browser type, device information, pages visited and time spent on our website

  • Interaction data such as email opens, link clicks and engagement with our content

  • Payment details where purchases are made, processed securely by our payment providers — we do not store card details

How we collect information

We collect information when you:

  • Visit our website

  • Complete a lead form on one of our Facebook or Instagram ads

  • Fill in a form or download content

  • Complete one of our online diagnostics or checks

  • Register for an event or course

  • Attend one of our masterclasses, courses, webinars or in-house training sessions

  • Purchase a product or service

  • Contact us directly, or speak to us by phone

  • Interact with our emails or marketing content

  • Connect with us or engage with our posts on LinkedIn or other social platforms

We also use cookies and similar technologies to understand how visitors use our site and to improve performance and relevance.

If someone else gives us your details

Sometimes a colleague, a client or someone using one of our referral or voucher codes passes on your name and contact details because they think our training would be useful to you.

When that happens we'll tell you who gave us your details the first time we get in touch, and we'll only contact you about the thing you were referred for. If you'd rather we didn't hold your details at all, tell us and we'll delete them.

Why we collect your data, and our lawful basis

We collect and use personal data to provide and operate our services, to respond to enquiries, to deliver products, services and event registrations, to improve our website and content, to stay in touch with you, and to meet our legal obligations. Our lawful basis depends on what we're doing:

  • Consent — for marketing by phone, email, text and WhatsApp, and for non-essential cookies

  • Contract — where we're delivering something you've bought or booked

  • Legitimate interests — for running and improving our website, keeping our records straight, and protecting the business against fraud

  • Legal obligation — for tax, accounting and other statutory records

Marketing communications

If you've given us permission, we may contact you about our services, content, events and offers by phone, email, text message or WhatsApp. We'll always tell you it's us, and every message will give you a way to stop.

You can withdraw permission at any time, and you can withdraw it for one channel while keeping another:

  • Text and WhatsApp — reply STOP

  • Email — use the unsubscribe link in any email

  • Phone — tell whoever calls, or email us

  • Everything — email admin@impactfulpm.com

We act on these straight away and we keep a note of your preference so it isn't undone by a later import. Withdrawing permission doesn't affect anything we sent before you withdrew it.

Separately from marketing, we'll always send you the thing you actually asked for — a template, a guide, a booking confirmation — and we'll answer you when you get in touch.

Who we share your data with

We don't sell your data, and we don't share it for anyone else's marketing. We do use trusted providers who process it on our behalf:

  • Wix — website hosting, and the infrastructure behind our content and online sales

  • HubSpot — our CRM and marketing platform, holding your contact details, company, website interactions and communication history

  • Meta (Facebook and Instagram) — where you complete a lead form on one of our ads, Meta collects your details and passes them to us. Meta also uses that data under its own data policy, which we don't control

  • Our messaging and email providers — for sending the emails, texts and WhatsApp messages you've agreed to

  • Payment providers — secure, PCI-DSS compliant gateways. We do not store card details

Each of these processes data on our instructions under a written agreement.

Sending data outside the EU

Some of our providers process data outside the European Economic Area, including in the United States. Where that happens we rely on the safeguards permitted by law — Standard Contractual Clauses, or an adequacy decision such as the EU–US Data Privacy Framework. You can ask us for details of the safeguards that apply to a particular provider.

Cookies and tracking

We use cookies and similar technologies to make sure the website works, to understand how visitors use the site, to improve content and performance, and to support marketing and analytics. These may include cookies set by Wix and HubSpot. You can manage cookies through your browser settings and, where applicable, through our cookie consent banner.

How long we keep your data

We keep personal data only as long as we need it. In practice that means:

  • Marketing contacts — 10 years from your last engagement with us, then reviewed and deleted

  • Records of marketing permissions — 10 years, so we can show what you agreed to

  • Customer and purchase records — 10 years, to meet tax and accounting requirements

  • Diagnostic and questionnaire answers — 2 years

  • Website analytics — 26 months

We may keep data longer where the law requires it, or where we need it to defend a legal claim.

Your rights

Under data protection law you have the right to access your personal data, correct it, ask us to delete it, restrict or object to how we use it, withdraw consent at any time, and get a copy of your data in a portable form.

To exercise any of these, email admin@impactfulpm.com. We'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to a supervisory authority. In Ireland that's the Data Protection Commission (dataprotection.ie). In the UK it's the Information Commissioner's Office (ico.org.uk). You can also complain to the authority where you live or work.

Changes to this policy

We may update this policy from time to time. Changes take effect when posted on our website. If we make material changes we'll say clearly that the policy has been updated.
